Revised Guidelines for Hosting South Asian Sociological Society (SASS) Annual Conferences (SACs)
These guidelines outline the requirements, procedures, and responsibilities for institutions seeking to host the SASS Annual Conference (SAC).
A. Requirements and Procedures for Applying to Host the SAC
- Invitation Eligibility: Vice Chancellors, Directors, Heads of Institutions, Regional Associations, or collaborating institutions.
- Endorsement and Commitment: Written assurance of financial allocation and infrastructure.
- Preferred Host Profile: Presence of Sociology or South Asian Studies department.
- Resource Mobilization: With prior information to the President, SASS.
- Conference Scale: Four days, approximately 1500+ delegates.
- Accommodation & Food: Discounted lodging and food from Day 1 dinner to Day 4 lunch.
- Young Researcher’s Workshop: 1–2 days before the SAC.
- Host Responsibility: Finance and logistics in consultation with SASS.
- Inauguration: Evening of Day 1 with cultural programme.
- Guest Protocol: In consultation with President and Secretary.

B. Guidelines for Organizing the SAC
- Accommodation models and registration structure decided with SASS.
- Conference theme and academic leadership by President, SASS.
- Online registration mandatory.
- 20% registration fee retained by SASS.
- 50% surplus shared with SASS.
- VIP accommodation and travel managed by host.
- Certificates, abstracts, and documentation as per SASS norms.
- Book exhibition and strict branding rules.
Important Note: This document should be periodically reviewed by the SASS Managing Committee. Continuous coordination with SASS Office Bearers is mandatory.
